With over 350 staff spanning offices in New York, Miami, Sydney and head quartered in Bristol, GDS International are a leading provider of industry conferences and summits across the world. They also deliver ‘Meet the boss’ a series of industry TV roundtables addressing that bring together high level thought leaders to discuss industry issues, through the medium of virtual video roundtables. Meet the boss have a global membership over 107, 000.

Having a large sales force based across multiple satellite offices, along with the large operational team of HR and recruitment and the events operational team who manage the vast logistics of event design and delivery. GDS were keen to join up their remote teams, increase team collaboration and improve communication across their satellite offices of 350 staff. Given the company is steadily expanding the solution needed to be future proof to support the future needs of the organisation.

The Challenge – Join up a large remote workforce of 350 distributed globally

Previously GDS International held any video meetings within their video conferencing suite. All staff had to travel to their local office to join the videoconference. This meant meetings took a long time to co-ordinate and travel budgets were high given the vast global presence of offices in the USA, Australia and the UK.

The system did not always perform in terms of the quality of the audio and video and often meetings were cancelled due to connectivity issues. The system also did not offer any flexibility to connect with the multitude of devices business professionals already utilise in their roles such as laptops, mobiles and IPad’s. The sales team found trying to reach external clients globally, to demonstrate their product, within a limited time scale was challenging. Precious time and budget was spent traveling to offices to attend meetings. Potential clients would mostly be another country and could be at home, on the road or in the office, sometimes with limited connectivity. As this had been a key challenge, it was crucial the solution they went with was user friendly to promote adoption across the business as well as offering the crucial ongoing support they required to ensure they maximised on their investment.

Reliability and connectivity are key. Interoperability with other systems is also essential.

From specification to deployment how has Ajenta performed on expectations?

Moving from one Vidyo service provider to another meant we were able to see for ourselves the difference clearly. Ajenta listened at specification which meant deployment went smoothly. We can now keep technologies up to date with the latest releases which has allowed us to innovate with our clients also.
